Grifols - Associate Director, Commercial Services

Summary

The Associate Director, Commercial Services, provides team leadership and oversees various services in support of the Grifols North America Bioscience commercial organization. Among the team's services is facilitating the weekly Grifols Review Process (GRP), which includes all the activities necessary to obtain Commercial, Legal, Medical, and Regulatory approvals for promotional and educational materials for in-line products and products preparing for launch. Additionally, as team lead, this role is accountable for the production of print materials through preferred Grifols print vendors, and the storage and fulfillment of materials from an external warehouse. This position is also accountable for all aspects planning, organizing and execution of 50+ national and regional conventions annually. Reporting to the Associate Director, Commercial Services is one Promotional Review Planner, one Print and Fulfillment Planner, one Sr. Conventions Specialist, and 1-2 Editors (contract or staff). Potential future areas of responsibility include digital asset management, centralized speaker program management, agency management and commercial communications.

Primary Responsibilities

  • Provides team leadership for 3+ direct reports and contractors as needed. Leadership responsibilities include team vision and annual objectives, tracking and measurement toward team objectives, and providing coaching/support/feedback to team members and external vendors as appropriate.
  • Responsible for the Grifols Review Process (GRP) for Grifols North America Bioscience. Leads one direct report (Promotional Review Planner) who manages all the activities necessary to obtain Commercial, Legal, Medical, and Regulatory approvals for promotional and educational materials for in-line products and products preparing for launch. Provides leadership and support of the Promotional Review Planner in the implementation of promotional materials from submission through distribution, as defined by the company's Standard Operating procedure (SOP). With the Promotional Review Planner, oversees vendor relationship with Veeva Vault PromoMats. Liaises with Global GRP team as necessary. Serves as back-up to the Promotional Review Planner; must be knowledgeable of the daily responsibilities and process requirements.
  • Responsible for all production and print fulfillment activities. Leads one direct report (Print and Fulfillment Planner) who manages promotional material inventories, ordering and re-ordering recommendations, and order accuracy and adequate quantities. Provides leadership and support to the Print and Fulfillment Planner in advising marketing teams in production proposals and print services. Ensures the team effectively interfaces with creative agencies and communicates project specifications with print vendors, ensuring company standards and regulatory guidelines are met. With the Print and Fulfillment Planner, oversees vendor relationship with print/production providers. Serves as back-up to the Print and Fulfillment Planner; must be knowledgeable of the daily activities and process requirements.
  • Responsible for all aspects of convention planning and support. Leads one direct report (Sr. Convention Specialist) who plans, organizes and executes 50+ national and regional conventions annually. Provides leadership and support to the Sr. Convention Specialist consulting with the marketing teams on budgets, event options, exhibit floor space, exhibit booth design, and marketing materials ideal for floor layout and target audience. With the Sr. Convention Specialist, oversees vendor relationship with convention services provider. Serves as back-up to the Sr. Conventions Specialist; must be knowledgeable of the daily activities and process requirements.
  • Responsible for all aspects of editorial review of promotional materials. Leads 1-2 direct reports (or contractors) who participate as a member of the GRP team, reviewing and approving all promotional materials submitted. This function actively works within Veeva Vault PromoMats and adheres to the weekly review schedule, deadlines, and attends the weekly review meetings (virtually or in person). Provides leadership and support to the editors ensuring that content and strategies are accurate and adhere to company and AMA guidelines and comply with FDA regulations. Oversees vendor relationship with outsourced agency in the event this role is contracted.
  • Explore potential new team capabilities in related areas, such as digital asset management, centralized speaker program management, agency management and commercial communications.

Education

  • Bachelor's degree or equivalent work experience.

Experience

  • A minimum of 10 years applicable experience (pharmaceutical or biotechnology industries) is preferred. Also considered will be media/agency experience, marketing, marketing communications, and medical writing experience. Experience with the industry's promotional review process (a.k.a. PRC or MLR) preferred. A working knowledge of Veeva Vault PromoMats is beneficial. Experience with or exposure to the concepts of print production and fulfillment, as well as convention planning, is advantageous. Experience working with or managing external vendors a plus.

Equivalency

  • Depending on the area of assignment, directly related experience or a combination of directly related education and experience and/or competencies may be considered in place of the stated requirements. Example: If a job level requires a Bachelor's degree plus 8 years of experience, an equivalency could include an Associate's degree with 6 years of experience, or a Master's degree with 4 years of experience.

Occupational Demands

  • Work is performed in an office environment with exposure to electrical office equipment. Frequently sits for 6-8 hours per day. Repetitive hand movement of both hands with the ability to make fast, simple, repeated movements of the fingers, hands, and wrists. Occasionally walks. Occasionally bends and twists neck. Light to moderate lifting and carrying objects with a maximum lift of 25lbs. Frequently drives to site locations with occasional travel within the United States. Able to communicate complex information and ideas so others will understand; with the ability to listen to and understand information and ideas presented through spoken words and sentences. Works independently with little guidance or reliance on oral or written instructions and plans work schedules to meet goals. Frequently interacts with others, relates sensitive information to diverse groups. Must work with diverse groups to obtain consensus on issues.
