The Manager of Marketing Operations oversees all aspects of the Promotional Review Committee (PRC) process, specifically ensuring the approval of all materials for use with Healthcare professionals or patients. All pieces must align with all FDA guidelines and regulations. Job Description The Manager of Marketing Operations oversees all aspects of the Promotional Review Committee (PRC) process, specifically ensuring the approval of all materials for use with Healthcare professionals or patients. All pieces must align with all FDA guidelines and regulations.

S/he will consult with other areas of management and/or business units and marketing teams in order to lead the medical, legal, regulatory review process. S/he will work with internal/external agencies to ensure that the PRC SOP is followed and that materials are submitted in accordance with our SOP. This role is responsible for the training of all stakeholders and serves as mentor for new team members on the PRC process. With direct management of the team of Associate Managers (currently 4 FTEs), s/he ensures consistency across the team.

In addition, this role is primary point person for assigned external vendors that are part of our PRC process including but not limited to Veeva Vault.

Responsibilities to include but not limited to:

Management and Oversight of the Promotional Review Process (cPRC)

  • Owns and manages the cPRC SOP documentation and version control with senior leaders in Regulatory, Legal, Medical to ensure compliance with FDA requirements and applicable laws
  • Point of contact for process related escalations with stakeholder groups (marketing, regulatory, legal, medical, sales training)
  • Responsible for defining training requirements, developing all related training content and maintaining log of all training records for internal and external stakeholders to the cPRC process and system
  • Leads cross functional working group with Associate Director of Marketing Ops to ensure team maintains an efficient and compliant review process
  • Collaborates and participates in monthly Legal/Regulatory meetings and serves as the SME for cPRC in all related discussions
  • Point person for Biogen legal relative to document retention and producing materials as required for auditing or other legal purposes
  • Manages and updates all WPI's and SOPs for cPRC

Team Leadership

  • Ensures consistency and accountability of the cPRC process across all stakeholders
  • Onboards and trains new Marketing Operations team members
  • Works with Associate Director of Marketing Operations to determine resourcing specific to assigned brands
  • Coordinates cross team coverage during holidays, vacations and sabbaticals. Covers brand PRCs as needed
  • Maintains consistency of reviews across all cPRC teams with respect to how reviews are facilitated by material type
  • Evaluates cPRC process and makes recommendations for improvement
  • Primary point of contact for process related escalations

Marketing Operations Vendor Management - Veeva Vault Promomats (GXP System)

  • Oversees assigned vendor daily operational execution and monitors against service level agreements
  • Manages system and all related reports to ensure data integrity
  • Creates and maintains Marketing Operations SOPS and training instructions for Veeva Vault. Identifies gaps in training process and implements corrective actions as needed
  • Specifically for Veeva, coordinates with IT all Veeva Vault change requests and enhancements and new user set up
  • SME for Veeva Promomats, CRM process workflow, and Digital Asset Management process
  • Manages vendor accruals and budget. Validates and approves invoices. Updates POs as necessary and forecasts all spend

Team Management of 4 FTEs

  • Interviews, onboards and trains on role requirements
  • Manages daily performance and sets standards for individuals to follow in these roles. Sets individual goals and development plans
  • Completes all required performance reviews (midyear, end year) as well ongoing performance feedback
  • Works with freelance staffing team as needed for contract employees during high volume times


  • 8 plus years of experience in a pharmaceutical/biotech company preferred
  • Exceptional understanding of Marketing Operations
  • 5 years of Marketing Operations experience
  • Strong interpersonal skills with experience in conflict management and negotiation
  • Administrator level experience with the Veeva Vault Platform
  • Highly collaborative with proven leadership skills
  • Strong analytical and critical thinking skills. Is forward-thinking and can take a holistic view of the business in order to ensure efficiencies and alignment with the Marketing and other cross-functional teams
  • Solid project management skills. Comfortable managing multiple and varied projects at one time
  • Strong communication skills, both verbal and written
  • Works with a sense of urgency, efficiency, and attention to detail
  • Ability to work independently as well as part of a team
  • Demonstrated program ownership and consistent delivery on commitments
  • Ability to work cross-functionally and with all levels of the organization, including Senior Leadership
  • Ability to manage a large volume and prioritize accordingly based on urgent issues
  • Strong computer aptitude and ability to learn systems quickly
