Biogen - Associate Program Manager, Marketing Operations

The Associate Program Manager (APM) will be responsible for management of the Print, Fulfillment Program for all commercial brands and product sampling vendor operations.

The APM works collaboratively with internal stakeholders including Marketing, Marketing Operations, Compliance, Legal and Regulatory. The APM is expected to partner closely with Marketing Brand teams to understand priorities and provide insights to the team on a regular basis regarding their Print and Inventory utilization.

This role will be responsible for monitoring daily operations of multiple vendors and ensuring adherence to compliance policies and SOPs. This includes monitoring vendor service level agreements; ensuring Biogen policies are adhered to, and managing vendor budgets. The APM must be willing to travel to vendor location approximately 10%.

Primary Responsibilities

  • Marketing Operations Vendor Management (Print, Fulfillment, Sampling)
    • Oversee vendor daily operational execution and monitors against service level agreements. Remediates operational issues with the vendor and provides resolution to affected parties.
    • Create annual volume forecasts for vendors with quarterly updates. Monitor actuals. Consult with vendors on staffing capacity and capability.
    • Create and maintain Marketing Operations SOPS and Work Practice Instructions for sampling program, print and fulfillment services.
    • Monitoring program operations and execution daily to ensure compliance with program SOPs.
    • Manage on site vendor resources (Print Specialists).
    • Identify processes gaps in advance of operation failures and implements corrective actions.
    • Manages vendor accruals and budget. Validate and approval all vendor invoices. Update POs as necessary and forecasts all spend.
    • Facilitates weekly vendor/Marketing Ops meeting and ensures all deliverables are met, facilitate vendor QBR's.
    • Reviews and approves all vendor operational processes and SOPs as it relates to Biogen print and fulfillment services.
    • Point of contact for escalations and investigations. Ensure regular vendor audits are conducted and remediates any observations asap.
    • Point of contact on all vendor related/data IT issues & resolutions.
    • Point of contact for compliance and IT team for federal reporting (sampling). Secure annual report from vendor and provide to Regulatory for filing.
  • Project Responsibilities
    • Lead all IT enhancements (vendor & internal) such feed set up, user interface enhancements, reports.
    • Point of contact for internal audits.
    • Handles field training initiatives on behalf of Marketing Operations

Qualifications

  • 5 years of pharmaceutical operations and/or vendor management experience.
  • Works with sense of urgency, efficiency and attention to detail.
  • Makes good decisions based upon a mix of analysis, experience and judgment and in a timely manner and minimal supervision.
  • Ability to understand IT concepts and understand the overall impact on the business.
  • Thinks ahead, anticipates what others need and the impact their work has on others. Is able to make decisions with a holistic view of the operation. 
  • Successful record of building and improving operational processes and procedures.
  • Ability to manage a large volume and prioritize accordingly based on urgent needs.

  • Bachelor's Degree
